Job description Our client is an upmarket Beauty Salon in UAE and offers a wide variety of beauty and health treatments. Now looking for a Dental Office Manager to support the activities of its dental clinic, we invite applications from candidates with similar background.
Works with standard and advanced spreadsheets, databases, and word processing software packages. Prepares itineraries, agendas, and expense reports. Organize and maintain file and records. Provide general administrative support including but not limited to: phones, distributing mail, and preparing expense reports. Prepare official correspondence, coordinate and tracking functions, format correspondence, mark recommendations, and handle incoming and outgoing visit request preparation, logging, and verification. Create meeting agendas, notifications, and follow up items. Coordinates and schedules events, conferences, meetings, travel, conference rooms, luncheons, etc. Provide technical support and vendor interface. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Makes high level contacts of a sensitive nature inside and outside the company. Coordinate and Administer the Management calendar. Planning and scheduling projects and ensuring timely completion. Manage all aspects of the business unit operating budget. Maintain the security of confidential information. Maintaining business/customer contact database, corporate files and business plans. Conducting Internet research; reviewing and synthesizing information. Coordinate, create, edit and distribute both internal and external correspondence under the direction of Executive Management. Composing, designing and editing correspondence and reports. Producing complex and professional looking PowerPoint presentations. Perform executive administrative tasks associated with supporting the President of the Wound Care Business. Coordinating workflow and maintaining a productive work environment. Excellent calendar management skills, scheduling complex meetings and handling logistics. Coordinating complex domestic and international travel arrangements and international meetings. Interacting with customers, senior-level executives, and all other levels of employees. SKILLS:- * Should provide general supervision of all other business aspects of the practice * Supervising the work of the scheduling coordinator - seeing that scheduling is done properly, re-care is maintained, and that all patient contacts are kept up * Arranging for outside companies to handle our collections, patient financing, and any related matters * Hiring and supervising the work of part-time employees, including cleaning personnel * Controlling the expense of inventory * Contracting with repair personnel * Analyzing practice vital signs monthly, and implementing policies to improve the financial health of the practice * Tracking vital signs on a monthly, quarterly, and annual basis * Show trends, recognize successful performance by staff members, and to uncover problem areas in the practice before they become serious. * Handling all work schedule matters, including vacation and sick days, unpaid leave, and paid time off * Hiring and supervision and paying of cleaning personnel and other independent contractors * Assign business office tasks to clinical personnel during their free time. * Purging (contacting patients who have not completed dental work that they have been diagnosed as needing) * Calling patients for re-care appointments * Assisting with birthday cards, statements, or other clerical tasks * The dental office manager is in charge of payroll * Supervise the work of our payroll service company and communicate with them so that payroll checks are correct and timely * See that government reports, payroll taxes, and related matters are processed correctly * Handle all related payroll items such as employee documentation, federal regulations, workman's compensation, etc. * Monitor and regulate employees' use of sick days, vacation days, and unpaid leave * Stock and order office supplies * The dental office manager should see that dental office is properly closed and secured in the evening
